Step 1: Define Your Product Requirements

Before contacting any supplier, create a comprehensive product specification document. This becomes your master reference for the entire import process.

Your product spec should include:

• Product name and exact category
• Materials (e.g., "18-gauge steel, powder coated black")
• Dimensions, weight, and tolerances
• Electrical specifications (voltage, wattage, certifications for target market)
• Color options and surface finish
• Packaging requirements (per-unit and master carton)
• Required certifications (CE, FCC, RoHS, BIS, etc.)
• Target unit price and quantity range
• Target country (determines which certifications are required)

Step 2: Find Chinese Manufacturers

There are several ways to find manufacturers in China:

Option A: Alibaba.com

The world's largest B2B marketplace. Use these filters for better results:

• Gold Supplier (paid annual membership — shows commitment)
• Trade Assurance (payment protection)
• Verified Supplier (on-site audit by Alibaba)
• Sort by "Response Rate" and "Transaction Level"

Important: Many Alibaba "factories" are actually trading companies. Always verify with the steps in Step 3.

Option B: 1688.com

Step 3: Verify Suppliers Before Ordering

Supplier verification is the most critical risk-reduction step. Never skip this.

Business License Verification

All legitimate Chinese companies have a Unified Social Credit Code (统一社会信用代码). Search at credit.mofcom.gov.cn or gsxt.samr.gov.cn to verify the company exists and its registration details match what the supplier claims.

Factory Visit or Virtual Tour

Request a live video factory tour via WeChat video call. Look for:

• Actual production equipment and assembly lines
• Workers actively producing (not an empty warehouse)
• Quality control stations
• Raw material storage matching products claimed

Trading companies (middlemen) often cannot provide a factory tour showing production of your specific product.

Certification Verification

Request copies of all claimed certifications (ISO 9001, CE, FCC, etc.) and verify them with the issuing body. Fake certificates are common.

Reference Checks

Ask for 3–5 overseas customer references. Contact them via email or LinkedIn to verify the supplier's reliability and quality.

Step 4: Request Quotations and Negotiate

Send a formal Request for Quotation (RFQ) to your shortlisted suppliers (3–5 maximum for efficiency). Your RFQ should include your full product specification and request:

• Unit price at multiple quantities (e.g., 100, 500, 1,000 units)
• FOB price (or your preferred Incoterm)
• Payment terms
• Production lead time
• Sample cost and timeline
• Packaging specifications and cost

Negotiation Strategy

Chinese factory prices are always negotiable. Key negotiation points:

• Order volume: Commit to higher quantities for better pricing (even if ordering smaller initially)
• Payment terms: Offer to pay faster for a discount
• Packaging: Accept simpler packaging to reduce cost
• Lead time: Non-peak season orders often command better prices
• Competing quotes: "I have a lower quote from Supplier B" — use genuine competing quotes as leverage

Step 5: Order and Evaluate Samples

NEVER place a bulk order without first receiving and evaluating samples. This rule has no exceptions.

Sample order process:

1. Order samples from your top 2–3 shortlisted suppliers
2. Pay sample cost (typically $20–$100 per sample plus express shipping)
3. Receive samples in 7–15 days via DHL/FedEx
4. Test samples against your specification (materials, dimensions, function, durability)
5. Request revisions if needed — most factories provide revised samples free
6. Approve the sample (golden sample) in writing before bulk order

The approved sample becomes the quality benchmark for your bulk order — production must match it.

Step 6: Place the Bulk Order

Issue a formal Purchase Order (PO) document that includes:

• Exact product specifications (reference to approved sample)
• Quantities and unit prices
• Packaging specifications (inner box, master carton dimensions and weight)
• Required certifications/markings
• Delivery deadline
• Payment terms (30% deposit, 70% before shipment is standard)
• Inspection requirements
• Penalty clauses for late delivery or quality failures

Get the PO countersigned by the factory. Pay the 30% deposit via T/T (bank wire) to the factory's verified company bank account.

Step 7: Monitor Production

Stay informed during production:

• Request production start confirmation and photo
• Request mid-production update photos
• For complex or high-value orders, arrange a DUPRO (During Production Inspection)
• Confirm production completion date 2 weeks before expected ship date

Step 8: Pre-Shipment Quality Inspection

This is the most important quality protection step. A pre-shipment inspection (PSI) is conducted by an independent QC inspector at the factory, after production is complete but before goods are loaded for shipment.

What gets inspected:

• Quantity count — all units accounted for
• Random sampling per AQL standards
• Product dimensions, weight, appearance
• Function testing
• Packaging and labeling compliance
• Certification markings (CE, FCC, etc.)
• Carton drop test

The inspector provides a detailed report with photos and videos within 24 hours. If the failure rate exceeds AQL limits, you can request re-inspection after the factory corrects defects, or reject the shipment entirely.
